Team Secretary (London)

JOB TITLE:  Team Secretary

REPORTING TO: Partners

CORE RESPONSIBILITIES

  • Opening and distributing post
  • Billing
  • Booking meetings
  • Regulatory filing
  • Draft/format correspondence/documents, following up where necessary
  • Send, receive and edit dictation/correspondence from outsourced provider
  • Printing and distributing monthly debtors statements
  • Booking travel
  • Minute taking
  • Diary management
  • Meeting, greeting & liaising with clients
  • Covering reception when required
  • Making refreshments
  • Working as part of PA / Secretary team, offering help when needed; providing cover as necessary
  • Printing, scanning, photocopying, filing, binding
  • Ad hoc projects and tasks
  • Booking training courses for Partner/team members
  • Undertake errands as reasonably required
  • Other administrative duties as necessary

SKILLS AND EXPERIENCE

Essential

  • Previous experience in an accountancy practice
  • High attention to detail and the ability to adapt to changing environments
  • Excellent organisation and communication skills
  • The ability to multitask and use initiative
  • Strong IT skills
  • Working knowledge of Microsoft Office Suite (intermediate)
  • The ability to prioritise and manage time effectively

 

Desirable

  • Experience of using relevant software packages e.g. CCH, CoAct
